Have you ever felt that working on your productivity system takes more time than it gives you?
Tagging notes, archiving documents, images, audios, logging tasks, labeling them, assigning them to a project…
Until now, many productivity apps have relied heavily on manual management. But that’s about to change (if it hasn’t already!).
New AI-powered tools are starting to take on these tasks for us: categorizing notes, creating automatic links between content, suggesting due dates, and even reorganizing your day based on tasks or priorities.
Still, they’ll never know if you woke up with a sore knee and the gym time booked just won’t work for you today. So, we’ll remain a key part of the system—but with much more support and much less friction.
Francesco D’Alessio, co-founder of Tool Finder, suggests that in this new landscape, productivity apps are turning into a sort of mindfulness space.
A place where those of us who enjoy structure can make the most of our information and feel a sense of mental clarity.
They’re converging more and more toward action-oriented collaboration spaces—like Notion or ClickUp.
What about the future?
I imagine a mix of increasingly refined features:
Thinking assistants: not just task managers, but tools that help you think better.
Contextual organizers: that know what and when to show you, right when you need it.
Reflections of your mental evolution: showing how your ideas or priorities have changed over time.
And a rising role of voice input, where just by speaking you can capture, classify, or activate tasks.
